6 Ways to Get More New Patients Before Christmas

The diary that fills in December is built in November.

A live working session for owners of allied health clinics with room in the diary. The six ways new patients find a clinic, taken one at a time and applied to your own clinic on the day, and the two to run in the weeks before Christmas.

Bring your diary. You'll score all six for your clinic live, and leave with the two to run before Christmas and the one to start building for 2027.

Sound familiar?

  • There is white space in the diary, and the plan for filling it is "we need more leads this week".
  • You tried ads, or an agency, or a flyer drop. It worked for a while, went quiet, and you moved on to the next thing.
  • The agency invoice arrives every month whether the phone rings or not.
  • A patient brings their partner to the initial appointment, and nobody mentions that you could help them too.
  • The referrers who used to send patients have gone quiet, and nobody can say what was last sent back to them.

Each of those methods can work for the purpose it was built for, and each tends to fade when nobody keeps working it. Our approach: no one lever, and several methods running at once, worked every week.

On Thursday 19 November, Shane runs a live 90-minute working session:

'6 Ways to Get More New Patients Before Christmas'

The session is built on our 12-minute video 6 Ways to Get New Patients Into Your Diary and the free guide of the same name, which carries a short checklist for each method and a two-minute scorecard. What you'll learn: all six methods, from the ones aimed at next week's diary to the ones that take longer to build, each applied to your own clinic on the day.

Now: aimed at next week's diary

  • Google Ads: what a patient in pain sees when they search for your profession near them, the path from that search to a booking, and how to read an agency fee against what actually goes to Google.
  • Walk-by traffic and signage: your clinic seen from the street the way a stranger sees it, the hours the front desk is empty while locals walk past, and where in your area a sign or a poster would be seen.
  • Word of mouth: the partner sitting in the room at the initial appointment, and how to ask a patient who is clearly doing well whether they know someone you could help.
  • Search and AI search: whether your clinic appears when someone searches your service and suburb on Google or asks an AI tool for a clinic nearby, and which pages and profiles to update first.

Future: demand that takes longer to build

  • Referrers: who referred to you in the last three months, what went back to each of them, and the one high-quality referrer to reconnect with first.
  • Sponsorships and partnerships: the difference between paying a local club and showing up every week, and how to pick the one organisation worth the time.

Live, with your own clinic

  • All six methods scored for your clinic, on the two-minute scorecard from the guide.
  • The two methods to run before Christmas, and the one to start building for 2027.

Here's the scoop

Most marketing advice sells one piece of the engine. An agency sells ads, a developer sells a website, a printer sells flyers. Each piece works for what it was built to do, and each one fades when nobody keeps working it. The pattern we see most often is an owner trying one, taking it so far, scrapping it when it slows, and moving to the next, so the diary never has more than one method running at a time.

The video groups the six in two. The now methods (Google Ads, walk-by traffic and signage, word of mouth, search and AI search) are aimed at next week's diary. The future methods (referrers, and sponsorships and partnerships) are demand that takes longer to build. How fast any of them shows up in your diary depends on your clinic, your area and how well the work is done. The now work is where most owners spend their time; the future work is what most often gets left for later.

Before Christmas, our approach is to do both: keep the now methods running into December, and start one future method so it is under way when the new year opens. Each of the six takes some lead time. A sign has to be printed, a referrer has to be called, a page has to be rewritten. Started in November, that work is done before Christmas. Started in January, it is done after.

The session takes the six one at a time, runs the checks from the guide on your own clinic, scores them, and finishes with the two to run now and the one to build for next year.

"There is no one lever that you can pull that's going to generate new patients for you forever and a day." — Shane Gunaratnam, 6 Ways to Get New Patients Into Your Diary

Your host

Who is Shane Gunaratnam?

Shane spent fourteen years in private practice in Australia and the UK, built and ran his own clinics, and now advises allied health owners on the economics of running a team: what each clinician earns the business, and what has to change so the diary and the wage bill both work.

The six methods in this session come from his own clinics. The posters in the local shopping centre and the physio at football training every week are his own stories, told in the video and worked through on the day.

Don't take our word for it

Owners who've done this work

"Shane had literally done what I was trying to do. My own ego almost stopped me — I figured I could do this myself. In four months we went from the early fifties to just under $70K a month. It's way simpler now. Worth every single cent and then some."

Ryan Taylor — Director, Glide Physio

"What resonated with Shane was that it was more about people and culture than just the numbers. We went from 45–50K a month to sitting between 55 and 60. It's also given me the confidence to raise my prices and sleep at night."

Frank Romeo — Director, Form Focus Physio

"My practice has grown from a solo operation to a small team of five. When I have felt out of my depth, he has helped me navigate the issues with a personalised and collaborative approach. Shane's mentoring has been invaluable to my personal growth in leadership."

Samantha King — Physiotherapist, True Balance Physio

"Shane's guidance was practical, no-nonsense, and exactly what I needed at this stage of my career. This helped me consolidate everything I've learned, reinforce key business principles, and introduce new ways of thinking."

Jane Grey — Director, Queanbeyan Physiotherapy Centre

Jane Grey, Queanbeyan Physiotherapy Centre: from $64K a month and losing team members to $122K a month, her best month ever, inside six months.

Ryan Taylor, Glide Physio: the $70K month in his quote was four months in; the practice is now seven figures a year, in new, expanded rooms.

A Queensland NDIS owner: back on the tools after losing several team members; rebuilt the team around a new grad program and a 2IC, and now runs at $120K+ a month without him treating.

This is for you if

  • You own an allied health clinic with a team — physiotherapy, exercise physiology, occupational therapy, podiatry, osteopathy, chiropractic, speech pathology, psychology — and there is room in the diary to fill.
  • You've tried one way of getting new patients, watched it fade, and moved on to the next.
  • You want the diary in December and January to look better than it did last year.
  • You'd rather pick two methods and run them properly than try all six at once.

This is a working session, not a webinar you half-watch on mute. If your diary is already full and you're turning patients away, this isn't the session you need. If you want a promised number of new patients, that's not what this is.

If you have a clinic, room in the diary and five weeks until Christmas, this is 90 minutes to pick the two methods to run now and get them started before the break.

Can't make it live?

Every buyer gets the recording after the session, and it's yours to keep. The recording carries the whole session; scoring your own clinic live and asking questions about it is the part only the live room gets.

Do I need the guide?

It helps. The free guide 6 Ways to Get New Patients Into Your Diary carries the two-minute scorecard the session uses. Without it, the scorecard is on screen and you score as the session goes.

Is this just about ads?

No. Google Ads is one of the six. The session spends as long on word of mouth, referrers and being seen in your own area as it does on ads, and several of the six cost time more than money.

Will this get my clinic to the top of Google, or recommended by ChatGPT?

Nobody can promise a ranking on Google or an answer from an AI tool. The session shows how to check where your clinic appears today and which pages and profiles to update first.

Do I need anything ready on the day?

Your diary for the next four weeks, open, and your score from the guide if you have it. A rough count of last month's new patients and where they came from helps.

Is this only for physios?

It's built for allied health clinic owners with a clinical team. The examples are mostly physiotherapy because that is where most of our clients are, but the six methods apply to any allied health clinic with room in the diary.
